The childcare app market is crowded and, honestly, pretty good. Brightwheel, Lillio (formerly HiMama), Procare and Kangarootime have spent years on the things a director cares about: check-in, daily reports, billing and parent messaging. If you run a center or a preschool, you will not pick a bad one by accident. You can still pick the wrong one for your building, so this guide is about how to choose.
Start with your own week, not the feature list
Before you book a demo, write down the five jobs that eat your week. For most directors it is some version of this:
- Getting every child in and out at the front door with a record of who did it.
- Knowing your staff-to-child ratio right now, not at the end of the day.
- Collecting tuition without chasing families.
- Keeping health records, immunizations and incident paperwork where an inspector can see them.
- Telling parents what happened today without ten separate texts.
Then ask each vendor to show you those five jobs, on a phone, with your own scenario. A demo that stays on the home screen is a demo that is hiding something.
The field, fairly
Brightwheel. Broad and well-liked. Strong on daily reports, check-in and billing. It is the default many centers land on, and for good reason. We compare it in detail in Bloomz vs Brightwheel.
Lillio (formerly HiMama). Strong on child development, documentation and curriculum framing. A good fit if the pedagogy side is what you lead with.
Procare. A long-established center-management system, heavier on business operations. Common in larger centers and chains.
Kangarootime. Center management with billing and family engagement, aimed at operational efficiency across sites.
If any of these fits the way your teachers already work, that is a legitimate answer. The best app is the one your lead teachers will open every day.

What Bloomz does not do
Say these out loud in every vendor call, ours included. Bloomz does not file CACFP claims. It records meals and exports the counts for your sponsor, and it imports DRDP and Teaching Strategies GOLD results through a preset set up against your export, without scoring them. Bloomz does not run payroll, but approved staff hours export to Gusto or QuickBooks Payroll. Subsidy attendance stays in your state’s system outside Washington; Bloomz produces a Washington DCYF attendance export, and it is not yet on DCYF’s approved list. If you depend on any of those inside one product, one of the other tools may suit you better, or you may pair Bloomz with a separate tool.
How to choose
- Pedagogy and documentation first: look hard at Lillio.
- Chain or multi-site operations first: compare Procare and Kangarootime.
- Front desk, ratios, health records and tuition first, with families who speak many languages: put Bloomz on the list.
- Already on Brightwheel and unhappy with price or support: read switching mid-year before you decide anything.

A short note for programs that continue into school
